This Privacy Policy explains how the Law Offices of Matthew C. Hines (“Hines Law,” “we,”
“our,” or “us”) collects, uses, discloses, and protects your information when you use our
mobile application (“App”) and the accompanying web-based Content Management
System (“CMS”). By using the App, you agree to the practices described in this Privacy
Policy.

1. Information We Collect
1.1 Personal Information Provided Directly by You
We collect information you voluntarily provide when creating or updating your profile,
scheduling consultations, contacting us, or interacting with case-related features. This
may include:
• Name
• Phone number
• Email address
• Preferred language
• Case selection data
• Consultation details
• Messages you send to your case manager
• Profile photo (if uploaded)

1.2 Information Collected Automatically
When you use the App, we automatically collect:
• Device information (model, OS, unique device ID)
• App version and usage data• Log and diagnostic information
• Push notification identifiers
• IP address and location approximations (based on IP only)

1.3 Case & Messaging Data via Filevine Integration
If you are an existing or active client of Hines Law, we pull limited case-related information
from Filevine’s API, including:
• Case status and updates
• Assigned team members
• Messages exchanged with your case manager
• Case documents shared with you
• Appointment details and activity logs
We DO NOT import or store your full Filevine case file on the App. Only the data needed to
display your case information is accessed.

1.4 Cookies and Similar Technologies
The App and CMS may use cookies or local storage for:
• Authentication tokens
• Language preference
• App performance tracking

2. How We Use Your Information
We use your information to:
• Create and maintain your account
• Provide access to your case information
• Deliver updates and in-app messaging
• Schedule, update, or manage appointments
• Send push notifications and alerts
• Improve app performance and user experience• Ensure system security and fraud prevention
• Comply with legal and regulatory obligations
We do not sell your personal information.

3. Sharing Your Information
We may share your information only in the following situations:

3.1 With Filevine
To display case status, documents, appointments, or messages.

3.2 With Service Providers
Third parties supporting:
• OTP verification
• Push notifications
• Hosting and infrastructure
• Error logging and analytics
• SMS delivery
• Data storage (AWS or equivalent)
All service providers are bound by confidentiality and security obligations.

3.3 For Legal Compliance
We may disclose information as required by law, court order, or a valid legal request.

3.4 With Your Consent
If you request a referral, share content, or authorize information disclosure.


4. Data Retention
• Account-related data is kept until you delete your account or request removal.
• Non-legal user data may be fully deleted within 30 days of account deletion.
• Legal case data is retained within Filevine according to applicable laws,
regulations, and firm retention policies.
• Logs and analytics data may be retained in anonymized form.

5. Data Security
We use industry-standard security measures to protect your data, including:
• SSL/TLS encryption
• Secure password & OTP authentication
• Role-based access control in the CMS
• Encrypted storage of tokens
• Rate limiting for authentication endpoints
• Regular security audits
However, no system is entirely risk-free. You use the App at your own risk.

6. Your Rights
Depending on your jurisdiction, you may have the right to:
• Access your personal information
• Update or correct your information
• Request deletion (non-legal data only)
• Turn off notifications
• Withdraw consent
• Request a copy of your data


7. Children's Privacy
The App is not intended for children under 13. We do not knowingly collect data from
children without parental consent.

8. International Users
This App is intended for users within the United States. If you access it from outside the
U.S., you do so at your own risk.

9. Changes to This Policy
We may update this Privacy Policy periodically. Updates will be posted in the App.
Continued use of the App means acceptance of the updated policy.
